This Privacy Policy explains how Renascence Group LLC ("MoveBlueprint," "we," "us," or "our") collects, uses, shares, and protects information in connection with MoveBlueprint Pro and our websites at moveblueprint.com, pro.moveblueprint.com, and crew.moveblueprint.com (the "Services"), and in connection with our own sales and marketing activities.
1. Who This Policy Covers
- Partners — Moving companies that hold a MoveBlueprint Pro account, and their authorized staff (owner and office users).
- Crew members — Field staff a Partner invites to the crew app; they have their own login and see the jobs assigned to them.
- Customers — Consumers who interact with a Partner through the Services to get an estimate, record an AI Video Survey, e-sign a binding estimate or other move document (such as a bill of lading), or pay a deposit.
- Prospects — Moving companies and their owners/officers we identify and contact for our own sales and marketing (you have not signed up; see Section 8).
- Referral partners — Real-estate agents and similar referrers a Partner invites to refer moving customers (see Section 2.5).
2. Information We Collect
2.1From Partners (and their staff)
Company name, owner/staff names, business email and phone, website, logo and branding; regulatory identifiers (MC#, USDOT#, state registration numbers, ProMover/BBB status); login credentials (email/password) and role (owner/office); Stripe account identifiers and subscription/billing status (Stripe collects KYC/bank details directly — we do not receive full bank or card data); where you connect Square to collect deposits, your Square merchant and location identifiers plus the access credentials needed to create payment links on your behalf, held encrypted, and the payment, refund and dispute notifications Square sends us about your connected account (Square collects KYC/bank details directly — we do not receive full bank or card data); pricing configuration; AI-assistant ("copilot") conversations and the actions you take; audit logs, ROI metrics, and platform usage. If you connect a third-party integration, we store the credentials needed to operate it (e.g., a SmartMoving API key).
2.2From Crew members
Name, phone, assigned role, and (if set by the Partner) pay rate; a crew login (phone one-time-passcode); job assignments and the times/hours you log; and, where your Partner uses crew payment collection, a record of the collection actions you perform at delivery (which tender you recorded, when, and on which device). Through the crew app you also see information belonging to the Partner's customers for jobs assigned to you (see Section 6).
2.3From Customers
- Contact: name, email, phone.
- Move details & precise location: full pickup and delivery street addresses, cities/states, computed distance/drive time, home size, floors/elevators/stairs/long-carry, special items, and move dates.
- AI Video Survey media: the short home-walkthrough video clips you record, the audio/voice captured in them, frames/images extracted from them, and the AI-generated inventory derived from them (see Section 5).
- Live Video-Call Survey media: if your Partner walks through your home with you on a live video call instead of (or in addition to) a recorded walkthrough, we process the real-time video and audio stream, the AI-generated inventory recognized during the call, voice-detected move conditions (e.g., stairs, elevators, special items), and captured photos of individual items the AI recognizes (see Section 5a).
- Electronic signature & device data: when you e-sign a binding moving estimate, bill of lading, or other move document — your typed name, signature image, the IP address and browser/user-agent used to sign, consent timestamp and version, any state-required valuation/liability coverage acknowledgment and its timestamp, and a hash of the signed document (see Section 7).
- Payment data: deposit and move-balance payment amounts and payment-processor identifiers — Stripe checkout/payment identifiers, or, where the Partner collects through Square, Square payment-link, order, payment and refund identifiers. Where your Partner's crew collects the remaining balance at delivery through the crew app, we also record each tender: the method (card, cash, or check), the amount, a check number if you pay by check, and the computed balance summary shown to you at the time (charges under your signed estimate, deposits already paid, and the remaining balance). Card details are entered into, read by, and held by the processor (Stripe or Square) — including a card tapped to the crew member's iPhone, which is read by Stripe's Tap to Pay technology on that device — and we never receive or store them. Cash and check payments are recorded as amounts only; we do not process them.
- Balance-due acknowledgment (delivery): if you are asked to acknowledge a remaining balance at delivery (for example when the crew's device has no connectivity for card payment), we collect your typed/printed name, your signature image, the acknowledged amount and its basis, the date/time, and, if you agree to one, your consent to receive a follow-up payment link. This signature is captured on the crew member's device, so any device identifiers recorded with it (IP address, user-agent) are that device's, not yours (see Section 7).
- Communications & consent: SMS/email message history, opt-in/opt-out flags and the date, source, and version of your consent, and review submissions.
- Derived data: an automated lead score/temperature used to prioritize follow-up (see Section 18).
2.4From Prospects
For our own B2B marketing, we collect business and owner/officer contact data from public regulatory records (e.g., the U.S. DOT/FMCSA carrier registry) and enrichment providers (e.g., Hunter.io), inbound lead forms and lead magnets (our "Quote-to-Cash scorecard," demo requests), and inbound ad leads (Meta/Facebook Lead Ads). This may include company name, owner/officer name, business email and phone, website, USDOT/MC numbers, and, for forms you submit, your IP address and the answers you provide. We also store our outreach history and the content of replies you send us. See Section 8.
2.5From Referral partners
If a Partner invites you as a referral partner (for example, a real-estate agent), we collect your name, email, and phone; your SMS opt-in status and its timestamp; the referrals you make and their outcomes; and any referral rewards the Partner records. Referral communications are sent on the Partner's behalf, and you can opt out at any time (reply STOP to texts or use the link in any email).
2.6Automatically
Browser and device type, IP address (including at signing, on form submissions, and in rate-limiting/abuse logs), user-agent, pages visited, and session/cookie data. Some IPs are stored in hashed form.
3. How We Use Information
We use information to: create and manage Partner, crew, and Customer records; generate moving estimates and AI Video Surveys; produce, deliver, and e-sign binding estimates, bills of lading, and other move documents; process deposits and subscriptions; schedule and dispatch crews; send transactional and (where permitted) marketing communications; provide the AI assistant; calculate lead scores; prevent fraud and abuse; operate our own sales and marketing; improve the Services and AI accuracy; and comply with law. We do not sell Customer or Crew personal information.
4. How We Share Information — Subprocessors
We share information with the service providers below, each only for the purpose shown. (One Google OAuth client may power several Google services; we list them by purpose.)
| Subprocessor | Data shared | Purpose |
|---|---|---|
| Supabase | All platform data (database, auth, file storage, secrets) | Core hosting and primary data processor |
| LiveKit | Real-time video/audio during a Live Video-Call Survey | WebRTC infrastructure that carries the live call between Customer and Partner |
| Inngest | Survey/job data passed through the processing pipeline | Background job orchestration (AI Video Survey) |
| Stripe | Customer email/name/move metadata; partner billing/Connect data; card data entered directly into Stripe, including a card tapped to a crew member's iPhone at delivery (read by Stripe's Tap to Pay / Terminal technology on that device — never by our systems) | Deposits and move-balance payments charged directly on the Partner's connected account — the Partner is the merchant of record and receives 100% — plus subscription billing and Connect onboarding. Balance payments at delivery may be collected in person (card tapped to the crew device) or through a Stripe-hosted payment link |
| Square | Sent to Square: deposit amount and a move description naming the origin and destination city (not the street address); partner Square merchant/location identifiers; card and any receipt details the Customer enters directly into Square's hosted checkout. Received from Square: payment, refund and dispute notifications for the Partner's connected account, which may include transactions MoveBlueprint did not originate (for example the Partner's own in-person or invoiced sales) — we retain only the deposit and move-balance payment identifiers listed in Section 2.3 and discard the rest. | Deposits and, where the Partner's crew collects at delivery, move-balance payment links, where the Partner chooses Square instead of Stripe. The payment is charged on the Partner's own connected Square account — the Partner is the merchant of record and receives 100%. Paying through Square's checkout may also create a customer record in that Partner's own Square customer directory, depending on that Partner's Square settings. We never receive or store card data. |
| Apple | Nothing is sent by us. Accepting a tapped card on a crew member's iPhone uses Apple's Tap to Pay on iPhone technology, which handles the card read on the device under Apple's and Stripe's own terms; any data Apple processes in doing so is governed by Apple's terms, not sent by MoveBlueprint | Enables card-present acceptance on the crew iPhone (used together with Stripe, above) |
| Twilio | Phone numbers, message bodies, caller IDs, line-type/carrier lookups | SMS (customer/crew/partner/prospect), missed-call voice response (text-to-speech; calls are not recorded), TCPA line-type filtering, operator alerts |
| Resend | Recipient email, names, addresses, estimate/deposit/booking content | Transactional and partner-branded customer email, follow-ups, reports, notifications, and delivery/suppression handling |
| Google Maps Platform | Customer full origin and destination addresses | Distance/drive-time and address autocomplete |
| Google Gemini (AI) | Customer home video frames/images; item names/notes; catalog text | Inventory item recognition, embeddings, catalog generation; alternate real-time recognition engine for Live Video-Call Survey |
| Google Calendar / Meet | Scheduling attendee name/email and event details; organizer calendar availability | Demo/booking scheduling |
| Google (Gmail API) | Outbound email content and reply content in our own outreach mailboxes | Our B2B sales outreach (not a Partner feature) |
| OpenAI | Customer AI Video Survey audio (voice) | Speech-to-text transcription (Whisper) |
| Anthropic (Claude) | Customer survey content; live-call video frames and captured item photos; Partner business data and Customer data via the copilot; website-visitor messages | AI survey verification; primary real-time recognition engine for Live Video-Call Survey; the owner copilot; and the marketing-site assistant |
| Cloudinary | Raw Customer home video clips and extracted frames | Video storage, transformation, and frame extraction |
| ElevenLabs | Scripted prompt text only (no personal data) | Pre-recorded survey voice prompts |
| Rentcast | Customer address | Property lookup to pre-fill home size |
| SmartMoving (CRM) | Customer name, phone, email, move date, full addresses, estimate, notes; AI-surveyed inventory (item names, quantities, room labels, item notes) if the Partner sends a survey's inventory to its CRM | Pushing leads and survey inventory to a Partner's CRM (only if the Partner connects it) |
| Hunter.io | Prospect company domains (out); third-party business contact data (in) | Prospect email enrichment/verification for our outreach |
| Meta / Facebook | Inbound lead-ad respondent data (in); website events and hashed identifiers via the Meta Pixel and Conversions API (out); server-side conversion events for Partner signups/subscriptions (hashed business contact identifiers) | Inbound lead ingestion, ad-conversion measurement, and ad audience building (see Section 11) — Customer and Crew data is never sent |
| Google Analytics | Marketing-site usage data (pages viewed, device/browser, cookie identifiers) | Site analytics on moveblueprint.com (see Section 11) |
| Cloudflare (Turnstile) | Visitor IP and browser signals during human-verification checks | Abuse protection on the marketing-site chat assistant |
| Lovable / Vercel / Railway | Data passing through hosted infrastructure (site delivery, webhook verification, background agents) | Website/app hosting and background-job infrastructure |
| U.S. DOT/FMCSA & U.S. DOE (public data) | Nothing is sent | Public sources we read for prospect data and fuel-price inputs |
We also share information as follows:
- With your Partner / their crew. Customer information is shared with the Partner you engaged and, for jobs assigned to them, that Partner's crew members (see Section 6).
- Partner-directed exports. A Partner may export Customer data to its own connected services — e.g., SmartMoving (via an API key the Partner provides) or a QuickBooks CSV the Partner downloads and uploads to Intuit itself. For these, the Partner directs the transfer and is the controller of that data at its destination.
- For legal reasons / business transfers. To comply with law, enforce agreements, protect rights and safety, or in connection with a merger, acquisition, or asset sale.
5. AI Video Survey (video, voice, and images)
If a Customer records an AI Video Survey:
- Capture & storage. Your home-walkthrough video clips (including audio) are uploaded to our storage and to Cloudinary for processing and frame extraction.
- Voice transcription. The audio is sent to OpenAI's Whisper API to transcribe your spoken narration.
- Visual analysis. Video frames/images of your home and belongings are sent to Google Gemini (and, as a verification/fallback step, Anthropic Claude) to recognize items; estimated cubic-feet/weight come from industry-standard tables and are not measured. Item matching may use Gemini embeddings.
- Sharing. The clips and the AI-extracted inventory are shared with your Partner (and visible to that Partner's office staff) so they can prepare your estimate and plan your move. If your Partner has connected a CRM integration (see "Partner-directed exports" in Section 4), your Partner may also export the AI-extracted inventory to that CRM; the Partner directs that transfer and is the controller of the data at its destination.
- AI accuracy. AI-generated inventory is a best-effort approximation that may contain errors; your Partner reviews it before issuing a binding estimate.
These providers do not train their models on data submitted via their APIs per their published terms; they may retain API data briefly (generally up to about 30 days) for abuse monitoring and legal compliance. Because home videos can incidentally capture other people (including children) and sensitive belongings, please avoid recording people; you may request deletion of survey media at any time (Section 12).
5a. Live Video-Call Survey
As an alternative to (or in addition to) a recorded walkthrough, a Partner may walk through your home with you on a live video call:
- Consent & the call. Before a live call connects, you're shown an on-screen notice and must affirmatively agree to be recorded before the call can start.
- Real-time processing. The video and audio stream is carried over LiveKit's infrastructure. Video frames are analyzed in real time by Anthropic Claude (or, as a configurable alternate, Google Gemini) to recognize items as the call happens; estimated cubic-feet/weight come from industry-standard tables and are not measured. Your spoken descriptions of move conditions (e.g., stairs, elevators, long carries, special items) are parsed from the call audio to help build your estimate.
- Item photos. As items are recognized, the system may capture and store a still photo of the item (a close-up crop and a wider view of the room with the item marked) so you and your Partner can both see what the AI identified. These photos are handled the same way as AI Video Survey media: shared with your Partner, retained on the same schedule (Section 12), and deletable on request.
- Sharing. The call's AI-extracted inventory, voice-detected conditions, and any captured item photos are shared with your Partner (and visible to that Partner's office staff) so they can prepare your estimate, the same as an AI Video Survey (Section 5).
- AI accuracy. AI-generated inventory from a live call is a best-effort approximation that may contain errors; your Partner reviews it before issuing a binding estimate.
Because a live call captures your home and household in real time, it can incidentally include other people (including children) who happen to be present; please keep other household members out of frame where possible. You may request deletion of live-call media and photos at any time (Section 12).
6. Crew Members & What They See
Crew members have their own logins (phone one-time-passcode) and can view, for jobs assigned to them, the customer's name, phone number, full pickup/delivery addresses, access details (floors/stairs/elevators), and inventory/box counts, plus the names of other crew on the job. Where the Partner uses crew payment collection, the crew member assigned to a job also sees that job's customer-facing payment totals — the balance due, its line summary, and what has been collected — and may collect payment at delivery on the Partner's behalf (card via the payment processor, or cash/check recorded as amounts). Crew do not see the Partner's pricing configuration, rates, margins, or revenue reporting, do not see payment data for jobs not assigned to them, never see card numbers (card reads are handled entirely by the processor, see Section 4), and do not directly access survey video. Crew data and the customer data exposed to crew are processed on the Partner's behalf for the purpose of performing the move.
7. Electronic Signatures, Binding Estimates & Bills of Lading
When a Customer e-signs a binding moving estimate, bill of lading, or other move document through the Platform, we collect and retain, as a record of that agreement: typed/printed name and email; the signature image (stored in a private bucket); the date/time, IP address, and browser/user-agent of signing; the ESIGN consent disclosure version and time of consent; where state law requires it, your acknowledgment of the mover's valuation/liability coverage disclosure (for example, Fla. Stat. §507.04) and its timestamp; and a SHA-256 hash of the exact signed document (so tampering is detectable). Some move documents are signed on the crew member's device at your home — for example an addendum at loading, a delivery receipt, or a balance-due acknowledgment at delivery. For those, the same record is kept, except that any IP address and user-agent captured are the crew device's, recorded at signing or when that device next reconnects (the record identifies you by your typed name, signature, and the in-person signing context, not by your device). The signed PDF is stored privately and shared with the issuing Partner. The signed document is an agreement between the Customer and the Partner; MoveBlueprint provides the signing technology and is not a party to it.
8. Sales & Marketing Data (Prospects)
To grow MoveBlueprint, we identify and contact moving companies that have not signed up.
- Sources. Public regulatory records (U.S. DOT/FMCSA carrier registry), enrichment providers (Hunter.io), inbound lead magnets (our scorecard, demo requests), and inbound ad leads (Meta/Facebook Lead Ads). Inbound forms store your IP address for abuse prevention.
- Use. B2B outreach by email (including via our own Gmail-hosted mailboxes) and SMS, follow-up, and measuring response. Outreach is currently limited to select U.S. states.
- Your choices. You can opt out at any time by replying to any message, replying STOP to texts, or emailing privacy@moveblueprint.com; we maintain suppression lists. We do not sell prospect data.
- Retention. Prospect and outreach records may be retained on a long-term basis for relationship history and suppression, subject to your opt-out and deletion requests.
9. SMS / Text Messaging Program
- Consented messaging. Partners may receive operational alerts; Customers who opt in (an optional checkbox — never required to use the Services) may receive quote delivery, up to 3 follow-up reminders from the Partner while your quote is active (that reminder window is up to about 30 days), and transactional document-signing links related to your booked move (for example, a text with a link to review and sign your bill of lading before move day). If, at delivery, you sign a balance-due acknowledgment and separately agree to receive a payment link, we send that one link by text or email per your choice; it is transactional to your completed move, and the consent you gave at delivery is recorded with the acknowledgment. Crew and partner-staff invitations are transactional. A Partner's one-tap "speed-to-lead" reply to a new consumer is human-approved before any text is sent, and every such text includes "Reply STOP to opt out." If a Partner enables missed-call text-back, a caller who phones that Partner and gets no answer may receive one automatic text reply; reply STOP to opt out.
- Cold prospect SMS. Where we text prospects, we filter to mobile numbers, honor STOP immediately, and operate under a registered A2P 10DLC campaign.
- Replies. Replies you send are stored and routed to your moving company so they can respond.
- Rates & opt-out. Standard message/data rates may apply; we don't charge for SMS. Reply STOP/UNSUBSCRIBE/CANCEL/END/QUIT to opt out, START/UNSTOP to resubscribe, HELP for help, or email support@moveblueprint.com. Phone numbers collected for SMS and the contents of SMS interactions are not shared, sold, or transferred to third parties for marketing. Carriers are not liable for delayed or undelivered messages.
10. Google API Services — Limited Use
Our use of information received from Google APIs (Gmail and Google Calendar, used for our own outreach mailboxes and demo scheduling, respectively) adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising or sell it, and we use it only to provide and improve the relevant features.
11. Cookies, Analytics & Advertising
We use essential cookies (authentication/sessions), analytics cookies (usage patterns), and functional cookies (preferences). You can control cookies via browser settings, though disabling them may affect functionality.
On our marketing website (moveblueprint.com) only, we also use:
- Google Analytics to understand site usage. Google's explanation of how it uses this data is at "How Google uses information from sites or apps that use our services". You can opt out with the Google Analytics opt-out browser add-on.
- Meta advertising tools (the Meta Pixel and Conversions API) to measure whether our ads work and to reach people who have visited our site. This shares site events and hashed identifiers with Meta Platforms, Inc. You can adjust this in your Meta ad preferences and via browser tracking controls.
We also send server-side conversion events to Meta when a Partner signs up or subscribes (hashed business email/phone only) to measure our own advertising. The partner app (pro.moveblueprint.com) and crew app carry no advertising trackers or pixels, and Customer and Crew data is never used for advertising. To opt out of ad-related processing of your data, email privacy@moveblueprint.com.
12. Data Retention
- Partner data: for the life of the account; when an account closes, we delete or anonymize partner data within 90 days, excluding records we must keep for legal or financial reasons.
- Customer estimate/move data: for a reasonable period to support the transaction.
- AI Video Survey media (video, frames, transcripts, inventory), Live Video-Call Survey media (call recordings, captured item photos, voice-detected conditions), and signing media (signature images, signed PDFs): kept in private storage while the move is quoted/serviced; our target retention limit is 24 months after service for support and AI-accuracy improvement, and you may request earlier deletion at any time — except that signed binding estimates, signed bills of lading / contracts for services, signed delivery documents (including addenda, delivery receipts, and balance-due acknowledgments), and their signature audit records (including the signature image and signed PDF) are retained for at least four (4) years (or longer if required by law) as legal records and are not eligible for earlier deletion. Payment and tender records (Section 2.3) are transaction records retained on the same basis as the move documents they relate to.
- Integration credentials (for example the Square access and refresh tokens used to create deposit payment links on your behalf): held in an encrypted secrets vault for as long as the connection is active. When you disconnect, the stored credentials are immediately overwritten and the connection is marked revoked; the record that a connection existed — your Square merchant and location identifiers and the connection/revocation dates — is retained as an account audit record. You may request its deletion under Section 15.
- Prospect/outreach records, message logs, and rate-limit/IP logs: retained on a rolling/long-term basis for deliverability, suppression, and security, subject to opt-out/deletion.
You may request earlier deletion (Section 15), subject to records we must keep by law.
13. Security
We use TLS encryption in transit, hashed password storage, role- and row-level access controls, private storage buckets for sensitive media (videos, photos, signatures, signed PDFs), and reputable infrastructure providers; certain integration credentials are held in a secrets vault. Card data is entered directly into the payment processor's own hosted checkout (Stripe or Square) or, for a card tapped to a crew member's iPhone at delivery, read on the device by Stripe's Tap to Pay technology — in every case MoveBlueprint's systems never receive, transmit, or store cardholder data. No system is perfectly secure, and not all stored fields are individually encrypted at rest beyond provider-level disk encryption. Contact security@moveblueprint.com immediately if you believe your account or data has been compromised.
14. Children's Privacy
The Services are not directed to children under 13, and we do not knowingly collect their information. Home videos and live video calls may incidentally capture household members, including children; please keep other household members out of frame where possible. Contact us to remove any such content.
15. Your Rights
All users may request access to, correction of, deletion of, or a portable copy of their personal information, and prospects may request suppression/opt-out. Email privacy@moveblueprint.com (or support@moveblueprint.com). We will verify and respond as required by law.
16. California Privacy Rights (CCPA/CPRA)
California residents may request to know, delete, and correct their information, and to opt out of sale/sharing. We do not sell personal information. Contact privacy@moveblueprint.com.
17. Florida Privacy Rights
Florida's Digital Bill of Rights applies to controllers with over $1 billion in global revenue meeting further criteria, which does not include us; we nonetheless honor Florida residents' requests for access, correction, deletion, and portability voluntarily. We do not sell personal data. Our marketing website uses advertising measurement tools described in Section 11, and you may opt out of ad-related processing as described there. Contact privacy@moveblueprint.com.
18. Automated Decision-Making & Profiling
We compute an automated lead score/temperature to help Partners prioritize follow-up, and we use AI to extract inventory and assist Partners. These outputs are decision-support, are reviewable by a human, and are not used to make legal or similarly significant decisions about consumers without human involvement.
19. International Users
The Services are operated from the United States and intended for U.S. users; our marketing outreach is geographically limited within the U.S. If you contact us from outside the U.S., your information will be processed in the U.S.
20. Third-Party Links
The Services may be embedded in or linked from Partner or third-party websites with their own privacy practices, for which we are not responsible.
21. Changes to This Policy
We may update this policy and will note the new effective date; we will communicate material changes by email or in-platform notice.
